1. Who we are

Femfiore ("Femfiore", "we", "us", "our") is a women's fitness, health and community platform operated by Charlotte Newman, trading as Femfiore Fitness, a sole trader based in Surrey, England. You can contact us about privacy matters at femfiorefitness@gmail.com

We are the "data controller" for the personal information described in this policy - meaning we decide how and why your data is used. This policy explains what we collect through our website, app (if applicable), online classes, community groups and calls, and how we protect it.

If you are in the UK or EU and have concerns about how we handle your data that we haven't resolved, you have the right to complain to your local supervisory authority - in the UK, this is the Information Commissioner's Office (ICO) at ico.org.uk.

2. Information we collect

We collect the following categories of information:

2.1 Information you give us directly

  • Account details: name, email address, password, date of birth, gender.

  • Profile and programme information: your fitness goals, experience level, weight, body measurements, injury history or physical limitations, and other health-related details you choose to share when signing up for a personalised programme, class, or check-in.

  • Community content: posts, messages, comments, and photos or videos you share in community groups, group calls, or check-ins.

  • Payment information: billing name, address, and payment details when you purchase a paid plan or programme (processed via Wix Payments — see Section 5).

  • Communications: messages you send us via email, contact forms, or social media.

2.2 Information collected automatically

  • Technical data: IP address, browser type, device type, operating system.

  • Usage data: pages visited, time spent on the site, links clicked, referring website.

  • Cookies and similar technologies (see Section 8).

2.3 Information from third parties

  • Payment confirmation data from Wix Payments.

Special category data: Health, fitness, and body-related information (weight, measurements, injury history, etc.) is treated by UK/EU GDPR as "special category data", requiring a higher standard of protection. We only collect this where you actively provide it (e.g. in a signup or programme form) and where you give your explicit consent, or where it's necessary to deliver the personalised service you've asked for. See Section 4.

3. How we use your information

We use your information to:

  • Create and manage your account and membership.

  • Design and deliver personalised fitness programmes, guidance on form/technique, and check-ins.

  • Process payments for paid plans and programmes.

  • Run and moderate community groups, classes, and group calls.

  • Send you service communications (e.g. booking confirmations, programme updates).

  • Send you marketing communications about Femfiore, where you have opted in (you can opt out at any time).

  • Improve our website, content, and services, including through aggregated/anonymised analytics.

  • Maintain the safety and security of our community and platform, including moderating inappropriate content.

  • Comply with our legal and regulatory obligations.

4. Our legal basis for using your information (UK/EU users)

Under UK and EU GDPR, we rely on the following legal bases:

  • Contract - to provide the services you sign up for (e.g. delivering a paid programme).

  • Consent -for health/fitness data, marketing communications, and optional community content. You can withdraw consent at any time by contacting us.

  • Legitimate interests - for basic website analytics, fraud prevention, and improving our services, balanced against your rights.

  • Legal obligation -  where we must keep records, e.g. for tax or accounting purposes.

For US users, we rely on similar principles: we only use your health/fitness information to provide the service you've requested, and we do not sell personal information. See Section 11 for your US state privacy rights.

5. Payments — Wix Payments

Paid plans and programmes are processed through Wix Payments, our website platform's built-in payment processor. When you make a purchase, your payment details (e.g. card number) are collected and processed directly by Wix and its payment partners - Femfiore does not store your full card details on our own systems.

Wix's handling of your payment data is governed by its own privacy and payments policies, available at wix.com/about/privacy. We recommend reviewing these alongside this policy.

6. Who we share your information with

We do not sell your personal information. We share it only with:

  • Service providers who help us run Femfiore, such as Wix (website hosting and payments), email/communication tools, and video/call platforms used for group calls and check-ins.

  • Other community members, but only the content you actively choose to share in community groups, calls, or posts.

  • Professional advisers (e.g. accountants, lawyers) where necessary.

  • Law enforcement or regulators, where we're legally required to.

  • A buyer or successor, if Femfiore is ever sold or restructured - you'd be notified of any such change.

All third-party service providers are required to protect your data and only use it for the purposes we specify.

7. International data transfers

Because Femfiore serves users in the UK, EU, US, and elsewhere, your information may be transferred to and stored in countries outside your own, including the United States (where some of our service providers, such as Wix's infrastructure partners, operate servers).

Where we transfer personal data from the UK or EU to a country that doesn't have an equivalent standard of data protection, we put safeguards in place, such as the UK International Data Transfer Addendum or EU Standard Contractual Clauses, to make sure your data stays protected.

8. Cookies and similar technologies

Our website uses cookies and similar technologies to:

  • Keep you logged in and remember your preferences (essential cookies).

  • Understand how visitors use our site (analytics cookies).

  • Show relevant marketing, where applicable (marketing cookies).

Because Femfiore is built on Wix, some cookies are set automatically by the Wix platform. You can manage cookie preferences via the cookie banner on our site, and through your browser settings. For details on Wix's own cookie use, see wix.com/about/privacy.

9. Data retention

We keep your personal information for as long as your account is active, plus a reasonable period afterwards to deal with any queries, meet legal/accounting obligations, and maintain records. Typical retention periods:

  • Account and profile data: for the life of your account, and up to 24 months after closure.

  • Payment records: as required by tax/accounting law (typically 6–7 years).

  • Marketing consent records: until you unsubscribe, plus a short period to evidence consent was given.

10. Your rights (UK/EU users)

Under UK and EU GDPR, you have the right to:

  • Access the personal data we hold about you.

  • Correct inaccurate or incomplete data.

  • Request erasure of your data ("right to be forgotten"), in certain circumstances.

  • Restrict or object to certain processing, including direct marketing.

  • Request a copy of your data in a portable format.

  • Withdraw consent at any time, where we rely on consent (e.g. health data, marketing).

11. Your rights (US users)

If you're a resident of a US state with a comprehensive privacy law (such as California, Colorado, Connecticut, Virginia, or others), you may have rights to:

  • Know what personal information we've collected about you.

  • Request deletion of your personal information.

  • Correct inaccurate personal information.

  • Opt out of the sale or "sharing" of personal information for targeted advertising (Femfiore does not sell personal information).

  • Not be discriminated against for exercising these rights.

12. Children's privacy

Femfiore is intended for users aged 16 and over. We do not knowingly collect personal information from children under this age. If you believe a child has provided us with personal information, please contact us so we can delete it.

13. Data security

We use appropriate technical and organisational measures to protect your information, including secure hosting through Wix, restricted access to personal data, and secure payment processing. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

14. Changes to this policy

We may update this policy from time to time, for example to reflect changes in our services or the law. We'll post the updated version on our website with a new "last updated" date, and where changes are significant, we'll let you know directly.
